The Meadows Mental Health Policy Institute (Meadows Institute) seeks a collaborative and strategic professional to serve as Human Resources and Administrative Coordinator (Coordinator). The Coordinator will support the work of the Human Resources team and general administrative needs across the Meadows Institute organization. The Coordinator will be expected to work collaboratively with staff, contractors, partner agencies, and stakeholders. The required work location for this position is in Texas. This position may not be filled or performed in California, Colorado, Connecticut, District of Columbia, Hawaii, Illinois, Maryland, Minnesota, Montana, Nevada, New Jersey, New York, Rhode Island, Vermont, or Washington at this time. Statewide travel (up to 5%) may be required. Some duties may require access to reliable personal transportation.
Responsibilities:
Human Resources
- Performs customer service functions by answering human resource-related employee requests and questions and preparing staff-facing communications (e.g., staff welcome emails);
- Works closely with Human Resources Manager on coordinating new hire needs (e.g., ordering home office equipment and supplies, obtaining new employee logins for necessary programs) and staff separation needs (e.g., facilitating equipment return and employee records updates);
- Works closely with Vice President of Human Resources on benefits administration, including assistance with annual enrollment process and assisting staff with benefits questions;
- Updates and maintains Asset Management database to track equipment purchases, assignments, replacements, and returns;
- Assists Human Resources Manager with tasks related to the annual Summer Internship Program, including review of Call for Application materials, applicant screening process and/or interviews, hiring and onboarding, and offboarding at close of internship program;
- Updates and maintains employee resource documentation, such as the Employee Handbook, Employee Resource Guide, and Institute organizational chart, and policy changes;
- Works closely with Vice President of Human Resources on maintaining state tax accounts;
- Monitors the admin@mmhpi.org, careers@mmhpi.org, and HR@mmhpi.org inboxes;
- Other duties as assigned.
Administrative and Operations
- Assists Senior Vice President of Operations with Institute-wide administrative tasks and initiatives, such as coordination of monthly virtual staff meetings, tracking staff completion of required annual trainings, support of annual state/national registration renewals, maintaining database of organization subscriptions and services, and other duties as assigned;
- Manages of the Institute’s regional office, including regular communication with building management and staff regarding ongoing needs and maintenance work orders, maintaining inventory of refreshments in shared kitchen area, and collecting mail to scan/distribute virtually to respective staff;
- Assists across teams with shipping and receiving needs, such as preparing and printing labels and coordinating shipping services via FedEx, UPS, and USPS;
- Assists across teams with general purchasing needs (e.g., supplies for events);
- Manages the Institute’s virtual phone service system and relays voicemail messages to staff as needed;
- Assists Senior Vice President of Operations with Operations credit card reconciliation;
- Other duties as assigned.
Required Qualifications:
- Bachelor's degree in Business, Communication Studies, or related field.
- At least two years of directly related experience.
- Excellent written and verbal communication skills.
- Ability to work independently as well as collaboratively with colleagues. This includes overcoming geographic and other potential barriers to communicating with and making contributions to the team’s work.
- Excellent organizational skills, including the ability to manage multiple tasks and projects simultaneously while meeting deadlines.
- Capacity to think strategically, critically, and respond analytically.
- Flexibility in working with new issues, topics, and approaches.
- Relevant education and experience may be substituted as appropriate.
Preferred Qualifications:
- Related human resource certifications:
- Society for Human Resource Management Certified Professional (SHRM-CP);
- Professional in Human Resources (PHR).
Eligibility Requirements:
The required work location for this position is in Texas. Relocation assistance not available. Successful candidates must show proof of eligibility to work in the United States.
